About Wasa Sweden

Wasa Sweden is a premium textile trims trader and manufacturer supplying labels, components and trims to their many brand customers across thousands of articles. Their customers trust them not just to deliver, but to do the right thing - to keep every article and component compliant, to know the factories behind them follow good practices, and to prove it on request.

That trust rests on a deep, multi-tier supplier base. And keeping a supply base that size compliant, certified and documented is relentless, manual work, exactly the kind that quietly eats a person's week.

The Challenge: compliance that never stayed done

Every week, the team was doing the same detective work to stay on top of supplier compliance:

  • Chasing suppliers by email to confirm whether certificates were still valid - and which had quietly expired.
  • Working out, article by article, whether a certificate covered the full product or only part of it.
  • Certificate data scattered across inboxes, hard drives and excel files, with no single source of truth.
  • Language barriers slowing every supplier inquiry across a multi-country supply base.

How Ovido Helped: Lumi took over the chase

Lumi · Ovido's AI agent. Lumi manages supplier communication directly — requesting missing certificates, reading the responses, tracking expiry dates and following up on gaps with minimal human required in the loop.

On top of the agent, Wasa got the structure to make all of it usable and provable.

  • Centralised certificate management - OEKO-TEX, GOTS, GRS and audit reports from AMFORI and SMETA as well as supplier’s own ISO standards and test reports, collected in one place and linked to the suppliers and articles and insights drawn.
  • A dynamic supplier dashboard and inquiries with responsiveness, quality and sustainability.
  • Audit-ready records if customers ask.
“Ovido took the weekly certificate chase off our hands entirely. Lumi talks to our suppliers, keeps everything current, and when customer asks us to prove an article is compliant, the answer is already there. It freed our team to do the actual sustainability work instead of compiling documents”

Niklas Neuendorff, COO at Wasa Sweden

Looking ahead

The same structured supplier and certificate data also publishes Digital Product Passports straight from the platform — so as DPP requirements reach Wasa's customers, the foundation is already in place.

Results
  • Close to a full FTE freed up. The weekly grind of collecting and checking supplier documents largely runs itself.
  • Customer requests answered in minutes. Compliing proof for a brand customer went from hours or days to near-instant.
  • Nothing lapses unnoticed. Renewal alerts replaced last-minute scrambles, with supplier inquiries handled now by Lumi.
